Event and Group Transportation in Chicago: Sizing It, Timing It, Booking It
Quick answer: Group transportation comes down to two numbers: headcount and luggage — and luggage decides the vehicle more often than people expect. Our fleet covers 2 to 22 passengers in one vehicle, with multiple vehicles beyond that. Almost every event booking is hourly, because an event day is stops and waiting rather than trips. Weddings, proms and large events carry a 2 to 4 hour minimum, and peak dates sell out across every operator in the region — reserve 2 to 4 weeks ahead, and months ahead for a peak-season Saturday.
Moving a group? Send the headcount, the bag count and the timings — we’ll size the vehicles.

Vehicle Sizing — Read This Before You Quote
| Group | Light luggage | Full luggage or equipment |
|---|---|---|
| 1–3 | Executive sedan | Sedan or SUV |
| 4–6 | SUV | SUV, or Sprinter if bags are large |
| 7–10 | Sprinter | Sprinter |
| 11–14 | Sprinter | Sprinter plus a sedan for overflow bags |
| 15–22 | Stretch, or two Sprinters | Two vehicles |
| 23–40 | Multiple vehicles | Quoted as a programme |
A Sprinter seats 14. Whether it also carries 14 large cases depends on the configuration — trade-show materials, golf clubs, instruments and sports kit fill the space fast. Give dispatch both numbers and we size it properly, rather than discovering the problem at a kerb with a flight to catch.
What We Move
| Occasion | Usual setup |
|---|---|
| Weddings | Sprinter for the party, shuttle loops for guests, a car for the couple |
| Proms and homecoming | Stretch or Sprinter, hourly, 2–4 hour minimum |
| Corporate offsites | Sprinter, hourly, often with a wait |
| Conference and trade-show groups | Hotel–venue loops across several days |
| Concerts and stadium nights | Hourly — the pickup is the part we plan |
| Bachelor and bachelorette parties | Sprinter party bus or stretch, hourly |
| Group airport arrivals | Flight-tracked, one vehicle, one pickup point |
| Graduations and family celebrations | SUV or Sprinter, hourly |
Guest Shuttles: the Maths Planners Get Wrong
| Guests needing transport | Setup |
|---|---|
| Up to 14 | One Sprinter, one or two loops |
| 15–40 | One Sprinter running loops, or two vehicles |
| 40–80 | Multiple vehicles running together |
| 80+ | Coach plus support vehicles, quoted as a programme |
A shuttle loop is roughly double the one-way drive plus loading time — so a 20-minute hop between hotel and venue is a 50-minute loop, not 40. Three loops moves about 40 guests comfortably. That single calculation is where most guest-shuttle plans go wrong.
Publish the shuttle times on the invitation or event page. Guests who know the last run leaves at 11:30 plan around it; guests who do not, ring the host at 11:25.
Wedding or conference shuttle? Send the headcount, the hotel and the venue — we’ll work out loops versus vehicles.

Why Event Bookings Are Hourly
| The movement | Book |
|---|---|
| One trip, no waiting | Flat rate |
| Wedding party, whole day | Hourly — the vehicle stays with the party |
| Guest shuttle loops | Hourly — loops are inside the hours |
| Prom or homecoming | Hourly, 2–4 hour minimum |
| Dinner, concert or show | Hourly — you leave when it ends |
| Multi-day conference | Quoted as a programme, one invoice |
An event day is waiting, not driving — which is exactly what hourly is for. Book one hour more than the timeline says. Events run long, and overtime costs more than the extra hour would have. See hourly limo rentals.
The Pickup Is the Part We Plan
Getting a group somewhere is easy. Leaving a venue when thousands of people leave at once is the part that needs planning.
- The vehicle stages before the end, not after you call
- We pick a meeting point away from the main exit — a corner, a side street, a nearby hotel entrance — and send it to you before you go in
- Road closures around large venues are known in advance and planned around
- You wait inside until we confirm the vehicle is at the door
- Split groups are handled by naming one meeting point and holding for the last person
- Venue access for large vehicles — not every garage or porte-cochère takes a Sprinter. Send the venue name and we confirm it
When to Book
| Event | Book by |
|---|---|
| Weddings, peak season | Months ahead — May and June sell out first |
| Proms | March–May is peak — reserve early |
| Homecoming | September–November |
| Corporate offsites | 2–4 weeks |
| Conference and convention weeks | As early as the dates are known |
| Concerts and event nights | 2–4 weeks, sooner for large vehicles |
| New Year’s Eve | Months ahead |
Large vehicles go first. If your date is fixed, book the transportation early and refine the timeline later — the vehicles are the constraint, not the details.
What We Need to Quote a Group
- Headcount and bag count — both numbers, not just passengers
- Every address — pickup, venue, hotel, final drop
- First pickup and last drop, even approximate
- Whether the vehicle waits between movements
- Any equipment — booth materials, instruments, sports kit
- Flight numbers for any airport movement
- Billing — one payer, split, or a corporate account
A draft timeline is enough to quote from. We would rather see a rough one early than a perfect one the week of.

About the Dispatch Team
Written by the dispatch team at All Star Limo Service — the people who size these vehicles, ring venues about access and pick the corner a chauffeur waits on. We run late-model sedans, SUVs, Sprinters and stretch limousines seating 2 to 22 across Chicago and 100+ surrounding areas. We ask for the bag count because it is the number that actually decides the vehicle. 24/7 dispatch: (708) 998-6336.
Group and Event Transportation FAQs
How many passengers fit in one vehicle?
Up to 3 in a sedan, 6 in an SUV, 14 in a Sprinter and 22 in a stretch. Larger groups move in multiple vehicles.
How do I know what size vehicle I need?
Give dispatch the headcount and the bag count. Luggage decides the answer as often as passengers do.
Should a group booking be hourly or flat rate?
Flat for a single transfer with no waiting; hourly for events, shuttles and anything with stops.
Is there a minimum?
Weddings, proms and large events typically carry a 2–4 hour minimum.
How many hours should I book?
Count from the first pickup to the final drop, add drive time between stops, and book one hour more than the timeline says.
How long is a shuttle loop?
Roughly double the one-way drive plus loading — a 20-minute hop is about a 50-minute loop.
Can one vehicle shuttle all our guests?
Up to about 40 in three loops if the hotel and venue are close. More than that needs multiple vehicles.
Do you check venue access for large vehicles?
Yes. Send the venue name and we confirm loading zones and clearance before the day.
Can you provide a certificate of insurance?
Yes, on request, for your venue or planner.
How far ahead should we book?
2–4 weeks for most events, and months ahead for peak-season weddings, proms and New Year’s Eve.
Do prices rise on a peak Saturday or event night?
No. There is no surge for the date, the season or the day of the week.
Can you meet a group arriving on different flights?
Yes. Send every flight number and we either hold one vehicle or run separate transfers, whichever is cheaper.
